Privacy notice

Version 2026-10-23

Ploti is developed and provided by Poola Technology Limited (“Poola”, “we”, “us”), a private limited company registered in Kenya (company number PVT-ZQULGVVY, P.O. Box 73619-00200, Nairobi). Poola is the data controller for Ploti, registered with the Office of the Data Protection Commissioner as [REGISTRATION NUMBER]. This notice explains what we keep about you, why, and your rights.

What we keep

  • Your account: phone number, name, home county, and whether your ID has been checked.
  • Your land records: boundaries and beacon coordinates (with GPS accuracy), names, statuses, title numbers, notes, and each parcel’s history.
  • Your documents: the files you upload, with their type, date and where you keep the originals.
  • Sharing: the phone numbers you share parcels with, and when they viewed them.
  • Security: the devices you sign in on (such as “Chrome on Windows”) and when you last used them; sign-in codes for a short time.
  • Help requests: what you write to us and the page you were on.
  • Ploti Assistant chats: what you ask the assistant and its answers, and which of your records it looked at to answer.

Why we keep it

  • To provide Ploti: show, store and share your records as you ask.
  • To warn about overlapping boundaries. We compare your boundaries with other people’s; we never tell anyone whose land overlaps theirs.
  • To keep accounts secure and prevent fraud.
  • To answer your help requests.
  • To answer your questions in Ploti Assistant, and to check the quality of its answers.

We do not sell your data, show advertising, or share your records with anyone you haven’t chosen, except where the law requires it.

Who can see it

  • You, and people you share a parcel with (view only, until you stop sharing).
  • Ploti staff, only when needed to run the service, for example to review an overlap or answer a request. Every time staff open a record it is logged.
  • Service providers who run parts of Ploti for us under contract: [HOSTING PROVIDER] (servers and storage, in [COUNTRY/REGION]), [SMS PROVIDER] (sign-in codes and invitations), and map providers (map images; they don’t receive your boundaries).
  • The AI provider behind Ploti Assistant (OpenAI, Anthropic or Google, whichever we use at the time; their servers are outside Kenya) receives what you ask the assistant and, in the apps, the parts of your own records it looks at to answer, such as parcel names, sizes, which papers are on file, and amounts owed on a plot you’re buying. It never receives your phone number, ID number or the contents of your documents. We use their business services, under which your conversations are not used to train their models. On the website the assistant sees nothing of anyone’s records. You don’t have to use it.

How long we keep it

  • Your records stay while your account is open.
  • A parcel you remove can be restored for 30 days, then is deleted.
  • Conversations with Ploti Assistant are kept for 90 days, then deleted (sooner if you delete your account). A conversation you pass to the Ploti team stays with your help request.
  • If you delete your account, it is deleted after 14 days (you can cancel until then). We text you two days before. Your land, documents and everything else you keep on Ploti are then deleted; payment receipts are kept for [NUMBER] years, as tax law requires, without your name or number.

Your rights

  • See and copy your data: download all your records from Account settings at any time.
  • Correct it: edit your details and records yourself, or ask us.
  • Delete it: delete your account from Account settings.
  • Object or restrict: ask us through Help.
  • Complain: to us at [PRIVACY EMAIL], or to the Office of the Data Protection Commissioner.
